Be it known and placed on record: That the Master Conventions File v2 is hereby established as the authoritative reference for all code, language, and formatting standards of the Mohawk Nation of Grand River Secretariat. All instruments issued after this date must conform to the conventions established in this file.

I. The Three-Block Record Code Format

The Three-Block Record Code Format is the standard format for all Secretariat instrument tracking codes: [OFFICE][SYS][TYPE]-[SS][MM][DD]-[NNNNNN]. The format encodes: the issuing office (2–4 letter prefix); the system family (2 digits); the instrument type (2 digits); the status code (2 digits); the date (DDMMYY in the standard, MMDD in the alternative entry); and a six-digit sequence number.

II. The Instrument Families

The Master Conventions File v2 defines 90 record families organized under 49 type codes and 47 office prefixes. Key families include:

  • GZT001 — Gazette instruments
  • REG001 — Register entries
  • SG series — Secretary-General instruments
  • AG series — Attorney General instruments
  • RG series — Registrar General instruments
  • NJP001 — National Justice Programme instruments
  • VEH001 — Vehicle registrations
  • NVR001 — NVR plate certificates
  • DRV001 — Driver credentials
  • LDC001 — Location Determination Certificates
  • NOI001 — Notices of Interest
  • TIN001 — Trust Instruments
  • QWO001 — Quo Warranto demands
  • VCI001 — Voluntary Contribution instruments

III. The Six Visibility Classes

  1. Public — available without restriction; all Gazette entries G0–G76 are Public unless otherwise stated
  2. Internal — available to Secretariat officers and staff only
  3. Restricted — available only to named authorized parties
  4. Sealed — not to be disclosed without a court order
  5. Archived — historical record, accessible on application
  6. Reserved — assigned but not yet published
